Can you connect EBMS ERP to ChatGPT, Claude or other AI?

Last updated

Yes. EBMS ERP by Koble (formerly Eagle Business Software) can be connected to AI and other software through Koble's API Gateway, which Power Automate and Koble's own open-source koble-mcp connector both build on. Which route fits depends on whether you want to build flows, give an AI assistant general access to EBMS, or use a ready-made agent for one job such as purchasing.

What is the EBMS API Gateway?

The API Gateway is Koble's REST interface to EBMS data. It uses OData queries and JSON, and lets other software read, write and query EBMS records such as customers, inventory and sales invoices.

It is the foundation for every other option on this page. Key points from Koble's documentation:

  • It is added to your EBMS account through your Koble account manager, as an API-enabled relay key.
  • An administrator turns it on in EBMS Server Manager: Settings, Advanced tab, Configure API Access, then "Enable external services" on the company, then a restart of EBMS services.
  • Requests sign in with an EBMS login, so what the API can see and change follows that user's EBMS security.
  • Koble's setup page says the API needs EBMS 8.6.239.056 or later. WebHooks, which let EBMS notify other systems when records change, came in EBMS 8.4.

What can Power Automate do with EBMS?

Power Automate lets you build automated flows between EBMS and other software without writing a full program. It needs the premium version of Power Automate and the API Gateway.

Koble's own examples include turning service request emails into EBMS tasks, a daily margin report, converting one company's sales order into another company's purchase order, and a text alert when stock of an A-level product runs low. Microsoft also lists an EBMS connector, published by Eagle Business Software and marked Preview, for Power Automate, Power Apps, Logic Apps and Copilot Studio. Its listed actions create and update products.

Power Automate suits fixed, repeatable rules: "when X happens, do Y". It does not decide how much to order on its own; you write that logic into the flow.

What is koble-mcp?

koble-mcp is Koble's open-source (MIT) connector that lets AI assistants work with EBMS through the API. It uses the Model Context Protocol, the standard many AI tools use to call outside systems.

  • Which AI tools: Claude Desktop, Claude Code, Codex, Cursor, VS Code with Copilot, Gemini CLI and Windsurf. It runs on your own computer, so the ChatGPT app cannot use it; Koble's page says so directly.
  • Sign-in: your EBMS serial number, username and password, with the password kept in the computer's credential store.
  • General tools: ebms_get to read, ebms_write to create, update or delete, ebms_command for allowed actions, and ebms_companies.
  • Purchasing tools: mrp_plan builds a CSV planning worksheet from on-hand, min/max, reorder increment, open sales and jobs, open purchases and bills of material, marking each item buy, make, expedite, not needed or OK. po_from_csv reads the planner's approved worksheet and drafts one purchase order per vendor.
  • Safety: it asks for a yes before every write and reads each write back to confirm it was stored.

It is a capable, general toolkit. You install it on each computer and steer it in conversation, using its built-in workflows such as MRP planning. Lead times are supplied by the user where the API does not provide them.

Which option fits which job?

Use the API or Power Automate for fixed integrations, koble-mcp for hands-on AI work across EBMS, and a ready-made agent when you want one job, such as purchasing, done the same way every time.

How does a ready-made purchasing agent differ from a toolkit?

A toolkit gives an AI access to EBMS and leaves the purchasing method to you; a purchasing agent brings its own forecasting and ordering method. ReorderOwl is a purchasing agent for EBMS ERP that does the planning itself and explains it.

  • Forecasting built in. Each item gets a forecast from three years of monthly sales, with a method suited to steady or occasional sellers. It orders enough to cover lead time plus your safety-stock days, plus the EBMS Minimum if you turn Minimums on, rounded up to the order increment.
  • An Excel workbook for every run. Each line shows forecast, safety stock, lead time, days of inventory and stockout date, and the summary shows overstock value.
  • Slack and ChatGPT. Buyers ask in a chat. In Slack, employees can schedule a weekly reorder that posts to the channel.
  • Draft, confirm, save. POs are saved in EBMS through the EBMS API after confirmation. Nothing goes to a vendor until someone on your team sends it.
  • In production. ReorderOwl runs for EBMS companies today, and our team sets it up with read-only database access plus EBMS API access.

If you have someone who enjoys building with AI tools, koble-mcp is worth a look. If you want purchasing handled without building anything, see ReorderOwl for EBMS.

What should you prepare before connecting any AI to EBMS?

Whatever you choose, the AI works from your EBMS data, so its answers are only as good as your counts, stock levels and vendor settings.

  1. Create a dedicated EBMS user for the integration and give it only the access it needs.
  2. Make sure every stocked item has a Primary Vendor and every vendor a Lead Time. See vendor lead times in EBMS.
  3. Bring minimums and maximums up to date. See how to set reorder points in EBMS.
  4. Decide who approves purchase orders before anything is created.

Frequently asked questions

Does EBMS have an API?

Yes. The EBMS API Gateway is an OData REST API with JSON. Koble adds it to your account, and an administrator enables it in EBMS Server Manager.

Can ChatGPT connect to EBMS?

Not through koble-mcp, which runs on your own computer and works with tools such as Claude Desktop. ReorderOwl works with EBMS from ChatGPT and Slack, and is coming to the ChatGPT app directory.

Is there a Power Automate connector for EBMS?

Yes. Microsoft lists an EBMS connector published by Eagle Business Software, in preview, which needs premium Power Automate and an API Gateway subscription.

Can Claude create purchase orders in EBMS?

Yes. With koble-mcp, Claude can raise purchase orders in EBMS, including one per vendor from an approved planning worksheet. It asks for a yes before each write and checks that EBMS stored it.

Is ReorderOwl the only AI for EBMS?

No. Koble publishes koble-mcp, and you can build your own tools on the API Gateway. ReorderOwl is a ready-made purchasing agent that works in Slack and ChatGPT.
