How do I know what to reorder in QuickBooks Online?

What does ReorderOwl do for QuickBooks Online users?

Which QuickBooks Online reports do I need to export?

You need two reports, and a third is optional. All three are standard QuickBooks Online reports, so there is nothing to install or customize in QuickBooks.

How do I export each report from QuickBooks Online?

Each report is run from the Reports menu and saved to Excel with the Export/Print button. These steps follow Intuit's own help articles for QuickBooks Online.

  1. Go to Reports, then Standard reports, and use the search box to find the report by name.
  2. For Product/Service List, open it as is. You want the full list of products.
  3. For Sales by Product/Service Detail, open the report and set the Report period to a custom range covering the last 36 months, then run it.
  4. For Open Purchase Order Detail, find it in the Expenses and vendors section of Standard reports. Intuit notes purchase orders are a feature of QuickBooks Online Plus and Advanced.
  5. On each report, select the Export/Print dropdown, then Export to Excel, and save the file somewhere easy to find, such as your Downloads folder.

Leave the files as QuickBooks exported them. If a file looks empty when you open it in Excel, Intuit says it is in protected view and you can select Enable Editing to see it. You do not need to change the file before uploading.

How does it work in ChatGPT?

You attach the reports in a ChatGPT conversation with ReorderOwl and ask what you should reorder. ChatGPT asks you to approve sending the files to ReorderOwl before anything is uploaded.

  1. Sign up for ReorderOwl (free to start) and follow the sign-up steps to connect it in ChatGPT.
  2. Attach the two required reports, plus Open Purchase Order Detail if you have open POs.
  3. Ask something like "What should Brightline Supply reorder this week?" and approve the upload when ChatGPT asks.
  4. Download the reorder workbook and review the most urgent products listed in the chat.
  5. Create the purchase orders you want in QuickBooks Online yourself, as you do today.

What doesn't it do with QuickBooks Online?

ReorderOwl does not log in to QuickBooks or pull data on its own. It works only from the reports you export and attach, so the plan is as current as your last export.

  • It does not create or save purchase orders in QuickBooks Online. You enter the POs you decide on.
  • It does not send anything to vendors. Nothing goes to a vendor until someone on your team sends it.
  • It works in ChatGPT only for QuickBooks Online, not in Slack.
  • Reports must use US date formats, each file can be up to 10 MB, the sales report can hold about 170,000 sales lines, and one workbook builds at a time.

What happens to my QuickBooks data?

Your uploaded reports stay tied to your account and are not sold or shared. Built workbooks are deleted after 7 days, and files that fail or are not QuickBooks reports are not kept.

You can delete your uploads by asking us by email, and deleting your account removes its uploads and workbooks. Each account sees only its own uploads.

How much sales history should I export?

Export the last 36 months of Sales by Product/Service Detail. Three years lets the forecast see how each product really sells, including slow and occasional sellers.
