How do you reorder inventory with ChatGPT?

To reorder inventory with ChatGPT, export three reports from your system (item list with stock on hand, sales by item, and open purchase orders), upload them with a precise prompt, and check every suggested quantity against reorder point = demand during lead time + safety stock. ChatGPT only knows what you upload, so stale or missing data gives wrong answers.

Can ChatGPT reorder inventory on its own?

No. Plain ChatGPT can analyze a spreadsheet you upload, but it cannot see your live stock, your open purchase orders or your vendors' lead times unless you hand them over. It also cannot place or save an order in your system.

What it does well is the analysis step. ChatGPT can read an uploaded .xlsx or .csv file and run calculations on it. For a reorder list, that means it can do the arithmetic quickly once the inputs are right.

What can go wrong when you paste a spreadsheet into ChatGPT?

Most mistakes come from the data, not the math. The export is a snapshot, so the answer is only as current as the moment you ran the report, and anything missing from the file is invisible to the model.

  • Open purchase orders left out. If the export does not include stock already on order, ChatGPT will suggest buying it again.
  • Stale data. A stock report from last week misses everything sold since.
  • Misread columns. Units versus cases, a quantity column read as cost, or a header row treated as data. Clear column names and one item per row prevent most of these.
  • Silent assumptions. If you do not give a lead time or safety stock, the model picks one, and it may not tell you.
  • Large files. Years of line-level sales can be too big to upload, so summarize by item and month first.

One inventory software vendor, StockTrim, makes a similar point: a chat model is useful for exploring data and reporting, but it does not keep lead times, safety stock and reorder points current across hundreds of items by itself.

Which reports should you export?

Export three reports, all run on the same day, as .xlsx or .csv files with one item per row.

  1. Item list with stock on hand. Item number, description, unit of measure, case pack, quantity on hand, primary vendor and, if you track it, vendor lead time in days.
  2. Sales by item. At least 12 months of quantity sold per item, ideally by month, so slow and seasonal items show up honestly.
  3. Open purchase orders. Item number, quantity still to receive and expected date. This is the report people most often forget.

What prompt should you use?

Give ChatGPT the formula, the numbers it should assume, and the format you want back. Vague prompts get vague, unverifiable answers.

Prompt template: I attached three files: items.xlsx (stock on hand and lead time), sales.xlsx (units sold by item by month) and open_pos.xlsx (open purchase orders). For each item: 1) average daily demand = units sold in the last 90 days divided by 90; 2) lead-time demand = daily demand times lead time in days (use 21 days if lead time is blank and flag it); 3) safety stock = 10 days of daily demand; 4) reorder point = lead-time demand + safety stock; 5) available = on hand + open PO quantity. List only items where available is below the reorder point. Suggest an order quantity that brings available up to the reorder point plus 30 days of demand, rounded up to the case pack. Return a table with every input column, show your formulas, and list any rows you skipped and why.

Change the 90 days, 10 days, 21 days and 30 days to match your business. Asking for skipped rows and the formulas makes errors easy to spot.

How do you check ChatGPT's reorder math?

Recalculate two or three lines by hand using reorder point = average daily demand times lead time, plus safety stock. This is the standard formula used across inventory guides; if your hand numbers match ChatGPT's, the rest of the table is probably right.

Worked example with example data. Brightline Supply buys hose clamps (item IW-2210) from Ironwell Tools:

Now suppose the open PO report was left out and Ironwell already has 200 clamps on the way. Available is really 350, well above the reorder point of 186, so the right answer is to order nothing. That one missing file turns a correct calculation into a 225-unit duplicate order.

Before you place anything, also check: units match your purchasing unit, no item with zero recent sales was ordered, and every item flagged with a guessed lead time gets a real one.
