How do I know what to reorder from a spreadsheet?
Last updated
If you keep your inventory in Excel or Google Sheets, upload two sheets, an item list with what is on hand and your sales history, and ReorderOwl tells you what to reorder and how much, with a reorder workbook for every item. Today it works in ChatGPT. Claude setup is coming shortly. It is free to start. When you ask, it builds the purchase order for you to send to your supplier.
What does ReorderOwl do with my spreadsheets?
ReorderOwl forecasts each item from your sales lines, compares that with what you have on hand and on order, and lists what to order, how much, and from which vendor. The assistant shows the most urgent items in the chat, and the workbook covers every item and shows how each number was worked out.
The same works for any system that can save an item list and its sales lines to Excel or CSV.
What columns do my spreadsheets need?
Column names don't have to match exactly: common spellings are recognised (for example SKU, Item Number or Part Number for the item). If a column isn't recognised, ReorderOwl tells you which headers it found and which field each missing one should be, and you can tell the assistant which column is which.
| Sheet | Required? | Columns it needs | Helpful extra columns |
|---|---|---|---|
| Item list (one row per item, or per item and location) | Yes | Item or SKU, On hand | Description, Vendor, Unit cost, Reorder point, Lead time, Location, Pack size |
| Sales history (one row per sales line) | Yes | Item or SKU, Date, Quantity | Invoice or order number, Location |
| Open purchase orders (one row per line not yet received) | Optional | PO number, Item or SKU, Quantity ordered | Quantity received, Vendor, Expected date |
Use the last 36 months of sales (at least 12), and enter returns as negative quantities.
How do I save my sheets for upload?
- Excel: keep each list on its own sheet or in its own file with the column names in the first row, and save as .xlsx or .csv.
- Google Sheets: open the sheet and choose File > Download > Microsoft Excel (.xlsx). Do this for each list.
- Remove totals rows and notes above the column names, so the first row is the header.
How do I set it up in ChatGPT?
Create your free ReorderOwl account first and pick Spreadsheet as your system. Your setup page shows the steps for ChatGPT, with your own connection link. Claude setup is coming shortly.
- In ChatGPT: add ReorderOwl as the setup page shows, attach your sheets in a chat with ReorderOwl, and ask something like "What should we reorder this week?"
- Download the reorder workbook and review the most urgent items in the chat.
It always works on your own data; there is no sample mode for spreadsheets.
How do purchase orders work with spreadsheets?
When you tell the assistant to create a purchase order, ReorderOwl builds it: one order per vendor, with the items, quantities and costs. It appears in the chat and on the purchase order sheet of your workbook. You send it to your supplier.
What happens to my spreadsheet data?
ReorderOwl keeps a copy of your uploads for your company, holding only the columns it uses. Built workbooks are deleted after 7 days, and each company sees only its own uploads.
Delete account on your account page removes your uploads and workbooks.
