How do you automate purchasing in Acumatica?

To automate purchasing in Acumatica, you can set reorder points and run Prepare Replenishment, or let ReorderOwl, a purchasing agent, do the forecasting for you. ReorderOwl reads your Acumatica sales history, stock, open purchase orders, vendors and lead times, tells you what to order and how much in ChatGPT, and drafts purchase orders that save only after you confirm.
Is ReorderOwl ready for Acumatica today?

In testing, ReorderOwl's stock on hand, quantity on order and recent sales matched a reference answer key item for item. A purchase order was then created through the ChatGPT tools and deleted afterwards. Slack is not available for Acumatica today; it works with EBMS only.
What does ReorderOwl read from Acumatica?
ReorderOwl reads five things from Acumatica: sales history, stock on hand, open purchase orders, vendors and lead times. It syncs them into one common shape, so the same purchasing logic runs whichever ERP the data came from.
Sales history goes back three years. Open purchase orders count as incoming supply, so ReorderOwl does not suggest buying what is already on its way. The hosted engine reads with read-only access.
How does ReorderOwl decide what and how much to order?
For each item, ReorderOwl forecasts demand, then orders enough to cover the vendor lead time plus your safety stock, measured in days of cover. Stock on hand and open purchase orders are counted first, so it only suggests the gap.
- Forecast. The default method looks at 36 months of monthly demand per item. Items that sell most months get a trailing average (12 months by default). Items that sell only now and then get a method built for intermittent demand, and their reserve is at least one typical order.
- Seasonal options. You can choose a same-season-last-year or three-year seasonal median method. The default is a flat rate, not seasonal.
- Lead time. A one-run override wins, then a vendor and warehouse rule, then a vendor rule, then the lead time stored in your ERP.
- Scope. Run it for one vendor, a warehouse, a product group or a single item. It covers all vendors only when you ask.
How does it work alongside Acumatica's own replenishment?
Acumatica already has a replenishment engine, and ReorderOwl does not replace it. Acumatica's help describes two methods, Min./Max. and Fixed Reorder Qty., driven by Safety Stock, Reorder Point and Max. Qty. on each item and warehouse, plus a Moving Average demand forecast model. Its Calculate Replenishment Parameters form can work out those values for you from sales and lead-time history.
On the Prepare Replenishment form, Acumatica lists items whose available stock has dropped below the reorder point, works out a quantity to process, and passes it to the Create Purchase Orders form. That works well when the parameters are kept current. The work is keeping hundreds of reorder points right as demand shifts.
ReorderOwl takes a different route. It does not need reorder points to be kept current; by default it forecasts each item from its own sales history at the moment you ask. What happens when ReorderOwl creates a purchase order?
You ask ReorderOwl to draft a PO, review it, then tell it to confirm. Nothing saves until you confirm, and nothing goes to a vendor until someone on your team sends it.
In testing against an Acumatica test system, the purchase order ReorderOwl created landed in Acumatica's Pending Approval status. Taking a PO off approval hold through ReorderOwl has not been tested, so plan on your approvers doing that step in Acumatica as they do today.

Do I have to turn off Acumatica's replenishment to use ReorderOwl?
No. ReorderOwl reads your data and suggests orders on its own forecast. You can keep Prepare Replenishment for the items it already handles well.
Will purchase orders from ReorderOwl go through approval?
If your Acumatica requires approval for purchase orders, plan on it. In testing, a PO created through ReorderOwl landed in Pending Approval. Taking a PO off approval hold through ReorderOwl has not been tested, so your approvers keep that step.
Does ReorderOwl send purchase orders to my vendors?
No. It drafts the PO and saves it in Acumatica after you confirm. Nothing goes to a vendor until someone on your team sends it.
