What is the difference between Safety Stock and Reorder Point in Acumatica?
Last updated
In Acumatica, the Reorder Point is the stock level that triggers replenishment, and Safety Stock is the extra buffer kept against swings in demand and supply. With the Min./Max. method, Acumatica does not add Safety Stock for you, so include it yourself in the Reorder Point (average daily demand times lead time, plus safety stock) and in Max. Qty.
This guide follows Acumatica's current online help at help.acumatica.com as published on 2026-10-01 (the newest release Acumatica lists is 2026 R1).
What does each field actually do?
Reorder Point decides when Acumatica suggests a purchase. Safety Stock is the cushion you want left when the new stock arrives. Max. Qty. decides how much to order.
| Field | Role in Acumatica | Where you set it |
|---|---|---|
| Reorder Point | When available stock reaches or falls below it, Prepare Replenishment suggests a quantity. | Stock Items (IN202500), Inventory Planning tab; Item Warehouse Details (IN204500) per warehouse |
| Safety Stock | Buffer stock against swings in demand and supply. It is shown on Prepare Replenishment but is not added to the Min./Max. calculation. | Same places |
| Max. Qty. | The level a Min./Max. order fills up to. | Same places |
Values on Stock Items are copied to Item Warehouse Details. The replenishment calculation uses the Item Warehouse Details values, so check there when a number looks wrong.
Does Acumatica add safety stock to the reorder point for you?
Not with manually entered Min./Max. parameters. Acumatica's help says safety stock is not used in the Min./Max. replenishment calculation. If you want the trigger to include a buffer, enter a Reorder Point that already includes it, and raise Max. Qty. to match.
For Fixed Reorder Qty., the help describes the reorder point the same way: safety stock plus the quantity you expect to need during the lead time.
The exception is the Moving Average demand forecast model, covered next. With it, Acumatica calculates both numbers and builds safety stock into the reorder point.
How does Acumatica calculate them automatically?
If an item uses the Moving Average forecast model, Calculate Replenishment Parameters (IN508500) works out average daily demand, average lead time and their variation. From those it computes Safety Stock and Reorder Point.
- Reorder Point = average daily demand x average lead time + safety stock.
- Safety Stock = service factor x the square root of ((average lead time x standard deviation of daily demand) squared + (average daily demand x standard deviation of lead time) squared).
- Service factor comes from the Service Level (%) setting via the normal-distribution inverse. The default of 84% gives a factor of about 1, and 50% gives 0.
You review the results on Apply Replenishment Parameters (IN509500) before they replace the current values. The Acumatica seasonality and forecasting guide covers the forecast settings themselves.
Where does the lead time come from?
Acumatica calculates Lead Time Average on Item Warehouse Details from your own history. It is the average gap between the requested date on each purchase order line and the date of the purchase receipt.
Lines that differ from the average by more than two standard deviations are left out. If a preferred vendor is set, only that vendor's documents count. If there is no history for the vendor, Acumatica copies the vendor lead time instead. Keep Lead Time (Days) on the Vendors tab of Stock Items current, because it is the fallback.
What does a worked example look like?
Here is a made-up example. Brightline Supply buys a cordless drill from Ironwell Tools, and the history shows:
- Average daily demand: 4 units, with a standard deviation of 2.
- Average lead time: 10 days, with a standard deviation of 2.
- Service level: 84%, so the factor is about 1.
Safety stock is about 1 x the square root of ((10 x 2) squared + (4 x 2) squared), or the square root of 464, which is about 22 units. The reorder point is 4 x 10 + 22 = 62 units. When available stock reaches 62, the drill is due for replenishment. Because applying calculated parameters sets Max. Qty. to 62 too, raise Max. Qty. if you want more than a minimal top-up.
Raise the service level and safety stock grows. Shorten or steady the lead time and it shrinks.
Which should you tune first?
Fix the lead time first, then the service level, and only then hand-tune safety stock. Lead time variation can drive safety stock as much as demand does, and it is often the easiest input to correct.
- Use a higher service level only for items where a stockout costs a sale or stops a job.
- Remember that Max. Qty. is set equal to the reorder point when calculated parameters are applied. Raise it if you want orders larger than a minimal top-up.
- For items with spiky or rare sales, Acumatica's help notes that the Moving Average model suits trending or steady items. You will generally not use a forecast model for the others.
For field-by-field setup, see how to set reorder points in Acumatica.
Can safety stock be set as days of cover instead?
ReorderOwl, a purchasing agent you use in ChatGPT, works that way. Safety stock is a number of days of cover rather than a unit count. The order target is the forecast over lead time plus safety-stock days.
It reads sales history, stock on hand, open purchase orders, vendors and lead times from Acumatica. It forecasts each item and explains every suggested quantity in an Excel workbook. The Acumatica connection is built and tested against Acumatica test systems, and we connect it to yours with you during setup. See ReorderOwl for Acumatica.
Frequently asked questions
Is the reorder point the same as the minimum in Acumatica?
Effectively yes. Acumatica's help says the Min./Max. method uses the reorder point quantity rather than a separate minimum quantity.
Does Acumatica order up to Max. Qty. plus safety stock?
No. For Min./Max., the order fills up to Max. Qty. after counting supply and demand. Safety stock is not added, so include any buffer in Max. Qty. and Reorder Point yourself.
What service level should I use?
Acumatica recommends 84%, its default, which gives a service factor of about 1. Higher levels raise safety stock. Use them for items where running out is expensive.
Why is my calculated lead time different from the vendor's quoted lead time?
Lead Time Average is measured from your purchase order requested dates to your receipt dates, with outliers removed. The vendor's quoted lead time is only used when there is no history for that vendor.
