How do you set reorder points in Acumatica?
Last updated
In Acumatica, you set reorder points on the Inventory Planning tab of the Stock Items form, per replenishment class, and Acumatica copies them to Item Warehouse Details for each warehouse. You pick a method (Min./Max. or Fixed Reorder Qty.), enter Safety Stock, Reorder Point and Max. Qty., then run Prepare Replenishment to list items below their reorder point.
Which version this covers. These steps follow Acumatica's current online help at help.acumatica.com, accessed 2026-10-01. Tab names and fields can differ in older releases, so check the help for your release if a screen does not match.
What do you need before you can set reorder points?
You need the Inventory Replenishment feature turned on, plus Multiple Warehouse Locations or Multiple Warehouses. Both are switched on in the Enable/Disable Features (CS100000) form. Without them, the replenishment forms are not available.
Acumatica's help also expects basic company setup, warehouses on the Warehouses (IN204000) form, item classes and stock items to exist first. Seasonalities on the Replenishment Seasonality (IN206600) form are optional.
How do you set up replenishment step by step?
The setup runs from classes down to each item and warehouse. Acumatica's help lists these general steps:
- Create replenishment classes. On the Replenishment Classes (IN208800) form, create one class for each replenishment source you use, such as purchasing from vendors.
- Set each warehouse's default class. On the Warehouses (IN204000) form, choose the class in the Replenishment Class box.
- Set defaults on item classes. On the Inventory Planning tab of the Item Classes (IN201000) form, enter the replenishment settings new items in that class should inherit.
- Adjust each stock item. On the Inventory Planning tab of the Stock Items (IN202500) form, each row is a replenishment class. Set the Source (for example Purchase), the Method, and the Safety Stock, Reorder Point and Max. Qty. values.
- Check Item Warehouse Details. Acumatica copies those values to the Inventory Planning tab of the Item Warehouse Details (IN204500) form for the matching warehouse. The calculation uses the values on this form, so review them here.
- Set the default vendor. On the Vendors tab of the Stock Items form, mark one vendor as Default so purchase orders know where to go.
- Run Prepare Replenishment. On the Prepare Replenishment (IN508000) form, review the items that need stock and process all of them or the ones you select.
- Create the purchase orders. On the Create Purchase Orders (PO505000) form, create the POs, then work with them on the Purchase Orders (PO301000) form.
What do Safety Stock, Reorder Point and Max. Qty. mean?
Reorder Point is the stock level that tells Acumatica to replenish an item at a warehouse. Max. Qty. is the most stock you want there. Safety Stock is extra stock held against swings in demand and supply.
| Field | What it does |
|---|---|
| Method | Min./Max. keeps stock between the reorder point and the maximum. Fixed Reorder Qty. orders a fixed amount each time stock falls below the reorder point. The default, None, means no replenishment. |
| Source | How the item is replenished, for example Purchase or Transfer. Prepare Replenishment lists purchase items only when the source is Purchase. |
| Reorder Point | The trigger level. The help suggests average daily usage times lead time, plus your safety stock. |
| Max. Qty. | The target stock level that Min./Max. orders up to. |
| Safety Stock | A buffer. The help notes it is not used directly in the Min./Max. calculation, so build it into the reorder point and maximum. |
Instead of typing values in, you can let Acumatica calculate them. The Calculate Replenishment Parameters (IN508500) form works out average daily sales and lead time, then suggests Max. Qty., Reorder Point and Safety Stock. You apply the suggestions on the Apply Replenishment Parameters (IN509500) form.
How does Acumatica work out the quantity to order?
With Min./Max., Prepare Replenishment orders up to the maximum, after counting what you have and what is already coming. The help gives the formula as Max. Qty. minus (on hand, less stock in unavailable locations, plus supply on order, plus quantity already replanned, minus demand).
Worked example
Brightline Supply stocks a 3/8-inch drive socket set from Ironwell Tools in its main warehouse. It sells about 4 a day, and Ironwell takes 10 days to deliver. Brightline wants 20 extra as a buffer.
- Reorder Point = 4 a day times 10 days, plus 20 = 60.
- Max. Qty. = 200, about a month and a half of sales.
- Today there are 50 on hand, 15 allocated to open sales orders and nothing on order.
- Qty. To Process = 200 minus (50 + 0 + (0 minus 15)) = 200 minus 35 = 165.
Prepare Replenishment lists the item, you process it, and Create Purchase Orders turns the 165 into a PO to Ironwell Tools, converted to Ironwell's purchase unit if it sells by the box.
What are the common mistakes?
Most problems come from settings that never reach Item Warehouse Details, the form Acumatica actually calculates from.
- Method left at None. It is the default, and it means no replenishment at all.
- Editing the item class and expecting existing items to change. The help says class changes made after an item exists are not copied to that item. Update existing items on the Stock Items form.
- Class mismatch with the warehouse. Settings copy to the warehouse that has the same replenishment class as the item row. If they differ, the warehouse values may not be what you expect.
- Counting on Safety Stock in Min./Max. It is not part of that calculation; add it into the reorder point and maximum.
- No default vendor or wrong source. Items need the Purchase source and a default vendor to flow through to Create Purchase Orders.
- Stale parameters. Reorder points drift as demand changes. Recalculate them on a schedule or review them each season.
Is there a way to skip maintaining reorder points?
Yes. ReorderOwl, a purchasing agent, forecasts each item from its own sales history when you ask, so by default it does not need reorder points kept current. It drafts purchase orders that save in Acumatica only after you confirm. See ReorderOwl for Acumatica for how it works alongside Prepare Replenishment.
Frequently asked questions
Where is the reorder point in Acumatica?
On the Inventory Planning tab of the Stock Items form, in the row for each replenishment class. Acumatica copies it to the Inventory Planning tab of Item Warehouse Details, which is what the calculation uses.
Why is my item not showing on Prepare Replenishment?
Check that the item has a Reorder Point and a Purchase source on Item Warehouse Details for that warehouse, that the Method is not None, and that available stock is actually below the reorder point.
Can Acumatica calculate reorder points for me?
Yes. The Calculate Replenishment Parameters form suggests Max. Qty., Reorder Point and Safety Stock from sales and lead time history, and Apply Replenishment Parameters saves them.
What is the difference between Min./Max. and Fixed Reorder Qty.?
Min./Max. orders up to the maximum each time. Fixed Reorder Qty. orders the same fixed amount each time stock falls below the reorder point.
