How do you set reorder points in Zoho Inventory?

Last updated

In Zoho Inventory, open the Items module, select an item, click Edit, enter a number in the Reorder Level field, and save. Then turn on "Notify me when an item quantity drops below reorder point" under Settings, Module Settings, Items, and Zoho emails you when the item's stock falls below that number.

Field and menu names follow Zoho Inventory's US help pages as published on 2026-10-01. Zoho's help calls the same number both Reorder Point and Reorder Level.

What do you need before setting reorder points?

The item must track inventory. On the item form, Zoho's help describes a Track Inventory for this item option, which lets you manage the item's stock, and an Inventory Account with a FIFO or weighted average costing method. Items that do not track inventory have no stock level to compare with a reorder point.

While you are on the form, set the Preferred Vendor and Purchase Price. They do not affect the alert, but they tell whoever orders the item where to buy it and at what cost.

How do you add a reorder point to an item?

You can enter it when you create the item or edit an existing one. For an existing item, Zoho's help gives these steps:

  1. Go to the Items module from the left sidebar.
  2. Select the item or composite item.
  3. Click Edit.
  4. Update the Reorder Level and Preferred Vendor fields.
  5. Click Save.

For a new item, click + New in the Items module and enter the Reorder Point in the inventory section of the form, next to the inventory account.

How do you turn on reorder notifications?

Reorder alerts are an organization setting, so you turn them on once.

  1. Click the Gear icon and go to Settings.
  2. Under Module Settings, open Items.
  3. Check Notify me when an item quantity drops below reorder point.
  4. In Email for low stock notifications, choose the address that should receive the list of low stock items.
  5. Save.

Pick a shared purchasing address rather than one person's inbox, so the alert still reaches someone when that person is away.

How do you see which items are low on stock?

In the Items module, use the Low Stock filter. It lists the items that have reached their reorder level, which is the quickest daily check.

For a report you can export, the Inventory Summary under Reports, Inventory shows each item's reorder level beside its stock on hand, committed stock, quantity available for sale and quantity ordered. Our reports guide covers it and the other buying reports.

How do you choose the reorder point number?

Zoho's knowledge base says the threshold is based on historical average demand and safety stock. In practice: reorder point = daily sales × (vendor lead time in days + safety days).

Example: Brightline Supply sells about 2 units a day of a socket set it buys from Ironwell Tools. Ironwell takes 10 days to deliver, and Brightline wants 5 days of cushion. The reorder point is 2 × (10 + 5) = 30 units.

Zoho Inventory does not recalculate this number for you. If the socket set starts selling 4 a day, 30 is too low until someone edits it. Our forecasting guide shows how to work out daily sales from your Zoho data.

What mistakes should you avoid?

  • Setting it once and forgetting it. Review reorder levels for your best sellers at least each quarter.
  • One number for every item. Fast and slow sellers need very different reorder points.
  • Ordering twice. An item can stay on the Low Stock list while a purchase order is on its way. Check quantity ordered in the Inventory Summary first.
  • Items with no reorder level. They never trigger an alert, however few are left.
  • Stale stock counts. Alerts are only as good as the stock on hand behind them.

Can something work out reorder quantities for you?

Yes. ReorderOwl reads your Zoho Inventory items, invoices and purchase orders exports and tells you what to reorder and how much, with a workbook for every item. It works in ChatGPT today; Claude setup is coming shortly.

It does not change your reorder levels. When you ask, it builds the purchase order for you to enter in Zoho Inventory or send to the vendor; creating it in Zoho for you is coming soon. See ReorderOwl for Zoho Inventory.
