How do you forecast demand from Zoho Inventory data?
Last updated
To forecast demand from Zoho Inventory, export Sales by Item for each of the last 12 to 36 months, line the months up per item in a spreadsheet, and average recent months to get a demand rate. Multiply daily demand by lead time plus safety days for a reorder level, and add a review period's demand for a maximum.
Report names and export steps follow Zoho Inventory's US help pages as published on 2026-10-01. The formulas are standard inventory math, not a Zoho feature.
Does Zoho Inventory forecast demand?
The sales and inventory reports in Zoho Inventory's help report history: quantities sold, received and on hand for a period. None of them projects future demand, and the reorder level is a number you enter on each item. So the forecast behind it is one you make.
The history you need is there. Sales by Item gives quantity sold per item for any date range, and Inventory Summary gives stock on hand and quantity ordered.
How do you get the sales history out?
- Go to Reports, then Sales, and open Sales by Item.
- Set the date range to one month and click Run Report.
- Click Export As and choose XLSX or CSV.
- Repeat for each month you want, back 12 to 36 months.
- Also export Inventory Summary (Reports, Inventory) for stock on hand, committed stock and quantity ordered.
If you would rather have one file, the Invoices list can be exported for a custom date range from its More menu. Our purchasing reports guide covers the other reports.
How do you calculate reorder level and max?
Put one row per item (match on SKU) and a column for each month, then apply these formulas. Use days throughout so lead time and safety stock share a unit.
- Daily demand = units sold in the last 12 months ÷ 365.
- Reorder level = daily demand × (vendor lead time days + safety days).
- Max = reorder level + daily demand × days between orders.
- Order quantity = max − available for sale − quantity ordered, rounded up to the vendor's pack size. Order only when available plus ordered is at or below the reorder level.
Example: Brightline Supply sold 730 units of an Ironwell Tools socket set in the last year, so daily demand is 2. Lead time is 14 days, safety stock 7 days, and the buyer orders weekly. Reorder level is 2 × 21 = 42 and max is 42 + 14 = 56. With 30 available and none ordered, order 26, rounded to a case of 12 makes 36.
Enter the result in the item's Reorder Level field so Zoho's low stock alert matches your sheet; the reorder point guide shows where.
What are the common mistakes with a spreadsheet forecast?
- Seasonality. A yearly average under-orders before a peak and over-orders after it. For seasonal items, use the same months last year.
- Lumpy items. One big order can look like steady demand. Count how many months had any sales; if only a few, plan around a typical order instead.
- Stockouts. Months with no stock show no sales and drag the average down. Leave them out.
- Returns. Sales by Item draws on invoices and credit notes; check Sales Return History if returns are large.
- Ignoring open orders. Always subtract quantity ordered.
How do you spot overstock from the same data?
Weeks of cover is the simplest measure: stock on hand ÷ weekly demand. Items far above their max, or with stock and no sales in the past year, are overstock. Zoho's Inventory Aging Summary and Inventory Turnover By Quantity reports show the same picture from Zoho's side.
Where does ReorderOwl fit?
ReorderOwl replaces the spreadsheet. Export Items, Invoices (ideally 36 months) and Purchase Orders from Zoho Inventory and attach them in ChatGPT; Claude setup is coming shortly. It forecasts each item from your invoice history, compares that with stock and what is on order, and returns a workbook of what to order, how much and from which vendor. When you ask, it builds the purchase order for you to enter in Zoho Inventory or send; creating it in Zoho for you is coming soon. See ReorderOwl for Zoho Inventory.
Frequently asked questions
Can Zoho Inventory forecast demand?
Its standard sales and inventory reports show history, not projections. Export Sales by Item by month and forecast in a spreadsheet or another tool.
What is the min max inventory formula?
Min (reorder level) equals daily demand times lead time plus safety days. Max equals min plus daily demand times the days between orders.
How much sales history should I use?
Use 12 months for the rate and up to 36 months to see whether seasonal peaks repeat.
Does Zoho Inventory have a maximum stock field?
Zoho's item help describes a reorder level, not a maximum. Keep max in your spreadsheet and use it to size orders.
